Quest AV delivered the full AV scope for INNOVATEwest’s 2024 conference at the Vancouver Convention Centre, a two-day event welcoming more than 600 attendees. The event ran a main stage plenary, an exhibitor demo stage, and six concurrent breakout rooms simultaneously. Quest AV supplied and shipped all equipment to Vancouver, managing technical support across every space throughout the conference.
Supplying and shipping a full conference’s worth of equipment to a venue in another city, then deploying it consistently across a main stage, a demo stage, and six concurrent breakout rooms, requires logistics and on-site coordination to work in lockstep. With six rooms running at the same time, any gap in coverage or quality is immediately visible. Exhibitors on the demo stage have their own requirements and timelines, adding another layer of coordination alongside the main conference program.
Quest AV handled everything from equipment sourcing and shipping through to on-site setup, technical support, and show management. Standardizing the technical setup across the breakout rooms kept quality consistent and made the team’s on-site management more efficient. The main stage and exhibitor demo stage were each configured for their specific purposes, with dedicated support ensuring both ran without interruption alongside the breakout program.
The main stage plenary was anchored by a 56-foot rear projection screen, giving the room scale and visual clarity for keynote presentations and main program content. Custom lighting design was matched to the event theme throughout the venue, creating a coherent atmosphere across the main hall and the surrounding spaces rather than treating each room as a separate environment.
Six breakout rooms running concurrently is a logistical undertaking as much as a technical one. Each room needed its own AV setup, reliable support, and the ability to run independently without affecting the others. Quest AV managed all six alongside the main stage and the exhibitor demo area, keeping the production team coordinated across the full venue footprint.
The exhibitor demo stage served a different audience and purpose than the conference program. Exhibitors needed AV that supported their product demonstrations and presentations on their own schedules, separate from the main show flow. Quest AV provided the technical support and equipment to make that possible without pulling resources away from the rest of the event.
