IBAO Con
IBAO Con 2024 brought more than 3,300 attendees to the Sheraton Centre Toronto Hotel for a three-day conference that covered everything from a graduation ceremony and executive meetings to a main stage plenary, breakout sessions, a trade show stage, and evening celebrations. Quest AV supported every element across the event, from stage design through to technical management and teardown.
An event of this scale across multiple spaces and formats does not run on talent alone. With programming shifting between a graduation, a plenary, breakouts, a trade show, and evening events over three days, the real challenge is coordination. Every space, every transition, and every technical handoff has to be planned and managed with precision so that 3,300 people move through the event without friction.
Detailed show flows and production schedules drove every decision. Quest AV built the production documentation to coordinate logistics minute by minute across load-in, setup, programming, and teardown. With that foundation in place, the team could focus on delivering a polished experience in each space rather than managing uncertainty on the day.
The main stage plenary anchored the conference. Dynamic video walls shifted with the programming, using colour and content to set the tone for each session and keep the audience engaged across a multi-day format. Stage design was tailored to the scale of the room and the profile of the event, with AV that supported presenters without overshadowing them.
Breakout sessions and the trade show stage each had their own technical requirements. Quest AV managed the full scope, ensuring consistent quality across spaces with different layouts, sizes, and programming needs. The graduation ceremony and evening celebrations added further variety, requiring the team to transition smoothly between formal and social event formats within the same venue.
Coordinating load-in and setup across a hotel property of this size requires careful sequencing. Production schedules were built to ensure the right equipment was in the right place at the right time, and that the team had what they needed to set up, run, and strike each space without delays flowing into the next.
